Professional licence

City Solution (UK) Ltd is licensed and regulated by the Association of Accounting Technicians (AAT) to provide accountancy, bookkeeping, payroll and tax services. Our licence, and the standards and complaints procedure that come with it, cover all work carried out under the UK Establishment name.

Companies House authorised agent (ACSP)

City Solution (UK) Ltd is registered with Companies House as an Authorised Corporate Service Provider, agent number AP007847. This means we can verify the identity of your directors and people with significant control for Companies House from wherever you are, and file on your company’s behalf under the Economic Crime and Corporate Transparency Act 2023. Verification through us is completed against Companies House’s own standard using the documents you already hold, so nobody needs to travel to the UK or set up a GOV.UK One Login before incorporation.

Anti-money-laundering supervision

As an accountancy service provider we are supervised for anti-money-laundering purposes by HM Revenue & Customs under the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017. This is why we ask every client for identity documents, proof of address and an ownership chart before we start, and why we may ask about the source of funds. We cannot begin work until those checks are complete.

Client due diligence: who we work with

Before any engagement we verify the identity of every director and every person owning or controlling 25% or more, obtain proof of address, map the ownership to the ultimate beneficial owners, understand what the business does and where its funds come from, and screen every individual and entity against sanctions and politically-exposed-person lists. Monitoring continues for as long as we act.

We decline to act where identity cannot be established, where a structure is designed to obscure ownership or control, where any party is subject to UK, EU, UN or US sanctions or is in a jurisdiction we cannot serve, where the business cannot explain its activity or funding in plain terms, where the activity needs a UK licence the client does not hold, or where we are asked to provide nominee directors or shareholders — which we do not offer. We are required to report suspicious activity to the National Crime Agency and are prohibited from disclosing that a report has been made.

Professional indemnity insurance

We hold professional indemnity insurance with Hiscox Insurance Company Limited providing cover of £2,000,000 (policy PL-PSC10001149533/10). We also hold public and products liability insurance with Hiscox for £1,000,000 each and every claim. Certificates available on request.

Data protection

City Solution (UK) Ltd is registered with the Information Commissioner’s Office, registration ZA171285. Client data is held in the UK and EU on Xero and our practice systems. See our privacy policy.

What we are not

• Not a law firm. We prepare standard company documents and can introduce a solicitor for anything bespoke.
• Not authorised by the Financial Conduct Authority. We do not give investment advice and do not arrange or sell insurance. Bank accounts are opened by the bank, subject to its criteria; we support the application.
• Not a statutory auditor. If your group needs a UK audit we prepare the file and introduce a registered auditor.
• Not immigration advisers. We do not advise on visas or sponsor licences and will introduce an OISC-regulated adviser or solicitor.
• Not insolvency practitioners. Solvent strike-offs we handle; formal insolvency is referred.
• Not home-country tax advisers. The home-country points on our country pages are briefing notes for your local advisers, who confirm them.

Fees

Every engagement is quoted as a fixed fee in writing before work starts. Third-party costs (Companies House fees, couriers) are recharged at cost. Questions between jobs are free; anything that becomes real work is quoted first.

Complaints

If something goes wrong, email hello@ukestablishment.com with “Complaint” in the subject line. We acknowledge within two UK working days and respond in full within 15. If you remain dissatisfied you may refer the matter to the AAT, whose complaints procedure covers licensed members.

Our standard terms of business apply to every engagement, together with a letter of engagement setting out the scope and fixed fee for your company.
